Accredited Septic Privacy Notice
What this notice covers
Accredited Septic operates this app to manage its service work. This notice covers the current beta and the information used by its authorized users. If the app adds services or changes how it handles information, this notice will be updated before those changes take effect.
Information used by the app
The app uses user sign-in details, client and contact names, phone numbers and email addresses, property and mailing addresses, OPR and parcel identifiers, system details, readings, service notes, access instructions, reports, photos, plans and agreements. Billing records may include customer and item identifiers, rates, invoice amounts, delivery preferences and payment status.
Evidence photos and reading checks may include capture time and location coordinates when supplied by the device and permitted by the user. Property lookup and routing may send property addresses or coordinates to a configured mapping provider.
Information comes from clients, authorized staff, existing business files and spreadsheets, county records and separately authorized connected services. The beta is not designed to collect bank passwords, full payment-card numbers or health records.
How information is used and disclosed
Information is used to schedule and document work, maintain client and system files, prepare and verify county filings, manage agreements and billing, communicate with the intended parties, and keep records of changes and approvals.
Records may be disclosed to authorized staff and collaborators, the relevant county, the intended report or invoice recipients, and service providers used for those tasks. App hosting and sign-in use OpenAI Sites and Cloudflare. Accredited Septic's current business workflow also uses Google for mail and configured address or routing lookups, Dropbox for file storage, Adobe for agreements, and Intuit QuickBooks for accounting. These names identify the providers used in that workflow. A connected service receives information through the workflow and permissions configured for it.
The current app contains no advertising or data-sale feature. This statement describes the app's implementation; Accredited Septic's handling of information outside the app is covered by its other applicable notices.
Access and connected services
Access to business records is restricted by sign-in and company membership. Connecting an accounting or other service requires that account's separate authorization. Disconnecting stops future use of that connection; it does not withdraw a report already filed with a county or erase independent business records or provider-held copies.
Only connect accounts you are authorized to use. Connected providers have their own terms and privacy notices.
Retention and requests
Technical property history is kept to support service over the life of the system, including installation and system details, reports, readings, relevant photos and repairs. That history can remain useful when ownership changes. Former owners' contact details, gate codes and other private information are not part of the technical history to pass to a new owner; their disclosure requires separate authority.
QuickBooks is the accounting system of record. Accredited Septic has selected a seven-year business baseline for billing history kept in the app, subject to applicable recordkeeping obligations and legal holds. The seven-year period for app billing history begins on the invoice issue date. Applicable recordkeeping obligations and legal holds may require longer retention. This billing baseline does not apply to lifetime technical property history.
Client and system records are the business records associated with a client, property or system, including plans, reports, readings, photos, agreements and repair history. That record category is separate from the storage location or provider. Records may be held in the app, on an operator's computer, or in an external file-storage service used by that operator. Accredited Septic currently uses Dropbox for external file storage; another operator's choice of provider does not change what counts as a client or system record.
Existing client and system source files are to be preserved regardless of their storage location or provider. The app's billing-retention baseline does not authorize deleting, replacing or overwriting those independent source files. Linked records can be retrieved while the source file remains available and access is authorized; a link is not itself a backup. The beta does not automatically purge records or promise perpetual storage. Archive, removal and correction requests are reviewed manually, with ongoing service, county and accounting requirements, disputes and backups considered.
